1. Check the notice period and agree who does what
Read your current agreement for notice dates, exit assistance and any separately billed licences or equipment. Agree a handover date and name the person at your business who can approve changes. Ask both providers to confirm who handles support during the overlap and who owns any open tickets.
2. Confirm your business controls its accounts and licences
Identify the Microsoft 365 tenant, domain registrar, DNS provider and internet account. Confirm who can administer each one, how you recover access and who pays for subscriptions. Transfer access through an agreed secure channel and check it works. A provider change can often use the existing Microsoft 365 tenant; establish whether any migration is actually needed before scheduling one.
3. Inventory devices, networks and supplier dependencies
Collect a list of work computers, servers, printers, firewalls, Wi-Fi access points and key software. Ask for device management and security tool details, network diagrams and supplier contacts. Plan when to replace monitoring or remote support tools so devices remain covered during the change.
4. Verify backups and test the work people rely on
Record what is backed up, who can restore it and what happens to access to old backups when the contract ends. Agree a sample restore and a way back if a change fails. Check email, shared files, remote access and any business-critical applications with representative users before accepting the handover.
5. Close the handover and remove obsolete access
Once the new support route and recovery access are confirmed, review old provider accounts, delegated permissions and remote access tools. Remove access that is no longer needed, rotate any shared credentials and tell staff how to get help. Keep a written list of remaining actions, owners and dates.
